Building Your Itinerary with the Calendar

The Calendar Is Where It Happens

The Calendar view is the default and most-used view on any trip. It shows every event — flights, accommodations, activities, meals, tasks — laid out on a real calendar so you can see the shape of the trip at a glance.

Four views are available from the toolbar:

View Best For
Day A focused look at a single travel day
Week The default on desktop — one week at a time
Month High-level overview of the whole trip
Agenda A linear, scrollable list of every event in order

The calendar also shows the trip's timezone. On multi-timezone trips you can toggle the display timezone in the toolbar without changing each event's underlying timezone.


Creating an Event

The fastest way to add an event is to click and drag on an empty slot of the calendar. When you release, the Add Event drawer opens on the right with the start and end times pre-filled.

In the drawer:

  1. Title — what's happening (e.g. "Dinner at La Ruchetta")
  2. Color — picked automatically; change it with the palette icon
  3. Event type — scroll the type picker and choose Event, Flight, Food, Attraction, etc.
  4. Who's going — pre-filled with every guest on the trip; click avatars to add or remove
  5. When — start and end date/time, with per-end timezone controls, plus an "All day event" switch
  6. Location (or Route for travel events) — Google Places autocomplete
  7. Description — notes, rich text with bold/italic/lists via the markdown toolbar
  8. Link — a booking or reference URL
  9. Attachments — boarding passes or PDFs (Pro)
  10. Budget — one or more line items with currency, amount, and who it's split across

Click Save Event. The event slides into place on the calendar.


Event Types

Each event type has its own icon and default color. Travel event types show a route (start → destination) instead of a single location.

The type doesn't restrict what you can put in the event — a "Food" event and an "Attraction" event have identical fields. The type primarily drives the icon, default color, and how items roll up in the Budget view (costs group by category).


Rearranging Events

Once an event exists, you can drag it to a new time or day. Resize by grabbing the bottom edge. Both actions save automatically — no confirmation needed.

You can also open any event (click it on the calendar), change the time in the drawer, and save.


AI Suggestions in the Calendar

The Plan Harmony AI Travel Planner generates destination-aware suggestions based on your trip's location, dates, and existing events. Accepted suggestions show up as regular events. Unaccepted suggestions appear as purple "AI Suggestion" placeholders on the calendar with a sparkle icon.

Click an AI suggestion to review the detail in the drawer. Click Add to Trip to turn it into a real event, or remove it to dismiss. See the AI Travel Suggestions article for more.


Tips

  • Drag selection is the fastest way to add events. The drawer opens pre-filled with the dragged time range, which means less typing.
  • All-day events show at the top of the day. Flights that span midnight, multi-day accommodations, and tasks like "Leave for airport" read better as all-day events.
  • Use color intentionally. Many travelers color-code by traveler (everyone picks a color) or by category (food = pink, attractions = purple). Whatever scheme helps you scan the calendar.
  • Duplicate similar events. If you're eating at similar restaurants every day or taking the same transit route twice, duplicate the event and tweak the time.
  • Delete carefully. Deleting an event is immediate after confirmation — but re-creating is quick. Deletions don't touch the trip's budget items unless the budget was attached directly to that event.
