Opening an Event

Click any event on the calendar to open its details in a drawer that slides in from the right. Each event has the following fields, grouped into sections:

Basics

  • Title — required, minimum 3 characters
  • Color — one of 10 theme colors; click the palette icon to change
  • Event type — the icon picker at the top; changes what Plan Harmony treats this event as
  • Who's going — avatar selector showing every trip guest; click to include or exclude

When

  • Start date/time and end date/time — separate timezones for each end
  • All day event switch — hides time inputs and pins the event to a whole day
  • Timezone dropdowns — Trip Timezones appear at the top, with All Timezones below

Location or Route

  • Non-travel events show a Location field — a Google Places autocomplete
  • Travel events (flight, car, boat, train, walk) show a Route field with a start and a destination

When you pick a location, Plan Harmony automatically looks up the timezone for that location and sets it as the event's start or end timezone. You can override this manually.

Optional

The Optional Event toggle turns the event into a vote-able activity. See the Optional Events and Voting article for details.

Description

A rich text field with a minimal toolbar (bold, italic, underline, bullets, numbered lists). Blank lines are preserved. Use this for:

  • Reservation confirmation numbers
  • Address and transit notes
  • Meal reservation times and party size
  • What to bring, wear, or pack
  • Anything else everyone on the trip should know

Link

A single URL field for a booking link, website, or reference. The URL is validated and becomes a clickable link for everyone on the trip.

Attachments (Pro)

Attach multiple files per event — boarding passes, hotel confirmations, activity vouchers, PDFs. Each file is capped at 2 MB. Supported formats:

On free trips, Attachments is hidden and replaced by an upgrade prompt. You can still upload up to 5 files at the trip level on the Travel Documents tab.

Budget

One or more line items with amount, currency, and who's paying. See the Tracking Your Trip Budget article for the full breakdown.


Saving and Canceling

The drawer footer has three actions:

  • Cancel — closes the drawer without saving
  • Duplicate (existing events only) — opens a fresh drawer with "Copy of [title]" and a new color
  • Delete (existing events only) — confirms then removes the event
  • Save Event (or Add to Trip for AI suggestions) — commits your changes

Unsaved changes are lost if you click Cancel or close the drawer.


Locations vs. Routes

Plan Harmony treats travel events and stationary events differently on the map:

  • Stationary events (event, accommodation, food, attraction, experience, task) — single pin on the map
  • Travel events (flight, car, boat, train, walk) — dashed polyline connecting the start and destination

This is why picking the correct event type matters: a dinner set as "Flight" would ask for a starting airport, while a flight set as "Event" wouldn't render the route line on the map.


Tips

  • Start with location, then refine. Picking the location first auto-fills the timezone and saves you a step.
  • Use description for handoff notes. When clients forward an itinerary to family or to a co-planner, a well-written description travels with the event.
  • Attach the boarding pass to the flight event. For Pro trips, it keeps the document next to the event on the calendar and on the map pin.
  • Set all-day for overnight stays. Accommodation events covering multiple nights read better as all-day events spanning the range.
