Contacting Your Travel Agent Through a Trip

Finding Your Agent's Profile
If your trip was planned by a travel agency on Plan Harmony, you'll see two extra tabs in the left-hand navigation of the trip:
- Travel Preferences — for dietary, seat, and hotel preferences plus passport details
- Agent Profile — for contact info and messaging
Open Agent Profile to see everything about the agency planning your trip.
What the Agent Profile Shows
Header Card
- Agency logo or avatar
- Agency name
- Website URL — clickable, opens in a new tab
- Phone number — clickable on mobile to dial
- Member count — how many agents work at the agency
- Short description — a tagline or mission statement
- Contact Agency button (if you're logged in)
About Tab
Rich text description — the agency's longer story, specialties, experience, and anything else they've chosen to share. Formatted with headings, links, and lists.
Team Members Tab
A list of every public-facing agent at the agency, with their avatar, name, and role (owner or member). Gives you a sense of the team you're working with.
Sending a Message
- On the Agent Profile page, click Contact Agency.
- A message form slides into view.
- Type your message — minimum 10 characters.
- Click Send Message.
The message goes straight to the agency's Inquiries queue in their Plan Harmony agency portal. They'll receive a notification and typically respond via email (with your email address on file) or through their normal channel.
A success toast ("Your message has been sent to the agency") confirms delivery.
When to Use This Feature

The message form is great for asynchronous communication. For anything urgent, use the phone number on the profile.
Privacy
Your message is private to the agency. Other guests on the trip don't see it. Agency members do, because it becomes part of the inquiry thread they maintain for you. If you want to send a message no one else on the trip can see — for example, a question about a surprise — this is the right channel.
Tips
- Include the trip name in your message. If you're working with the agency on multiple trips, they'll want to know which one you're asking about.
- Be specific. "Can we switch to a balcony room?" is easier to action than "I want to change the hotel."
- Follow up via phone if urgent. Agencies don't always check their inquiry queue in real time, especially over weekends.
- Use the public profile URL. The agency's profile is also available at a public URL (shared by the agency on their website and other marketing). If you want to share the agency with a friend, send them that link rather than the trip's Agent Profile tab.
